About the role
The Administration Officer provides comprehensive executive administrative support to senior leadership within a medium‑to‑large facility. This role handles highly confidential information, coordinates a wide range of operational activities, and ensures smooth day‑to‑day functioning across multiple functions such as transport, cafeteria services, shop‑floor safety, and facilities management.
Key responsibilities
- Develop, monitor, and enforce transport schedules and SOPs for buses, cabs, and other vehicles to ensure safe and timely operations.
- Oversee cafeteria operations, guaranteeing nutritious meals for breakfast, lunch, and dinner while minimizing waste.
- Manage provision and cleaning of shop‑floor garments (dungarees, lab coats, lockers) and coordinate third‑party cleaning services.
- Implement waste‑segregation, scrapping, and timely disposal through contracted vendors.
- Maintain horticulture, pest control, and seasonal uniform distribution.
- Organise workplace celebrations and ensure upkeep of furniture, stationery, and other office assets.
- Handle payments, billing, and contract compliance; monitor budgets and control expenditures.
- Conduct regular asset counts, prepare SOPs, risk assessments, and enforce controls to achieve zero‑incident performance.
- Lead IATF16949 and EHS audits and uphold the four non‑negotiables: safety, quality, sustainability, and ethics/compliance.
Required profile
- Proven experience in administrative support within a medium‑to‑large organization.
- Ability to manage confidential information with discretion.
- Strong judgment and problem‑solving skills to identify issues and select appropriate solutions.
- Excellent coordination with internal teams and external service providers.
- Familiarity with SOP development, risk assessment, and audit processes.
