About the role

We are seeking a polished Front Desk Executive to be the first point of contact at our Vadodara office. The role combines hospitality expertise with office administration, ensuring a professional and welcoming environment for visitors, clients and staff.

Key responsibilities

  • Greet and assist all visitors, clients and guests, maintaining a positive first impression.
  • Manage incoming calls, emails and front‑desk inquiries, directing them to the appropriate teams.
  • Keep the reception area clean, organized and presentable at all times.
  • Maintain visitor logs, guest registrations and schedule meeting rooms.
  • Coordinate with vendors for office maintenance, housekeeping, pantry supplies and other facility needs.
  • Obtain and evaluate vendor quotations, negotiate rates and monitor service quality.
  • Process vendor invoices and ensure timely payment in collaboration with Finance.
  • Monitor and replenish office supplies, pantry inventory and housekeeping materials.
  • Support administrative tasks such as courier handling, document filing and basic procurement.
  • Liaise with building management for maintenance requests and assist in organizing internal meetings, events and employee engagement activities.

Required profile

  • Graduate in any discipline; degree or diploma in Hospitality Management, Travel & Tourism or Business Administration is a plus.
  • 2–4 years of experience in front‑desk, reception, guest relations or a hospitality‑focused role.
  • Strong verbal and written communication skills in English.
  • Hands‑on experience in vendor management and office coordination.
  • Ability to multitask, pay attention to detail and remain calm under pressure.

Required skills

  • Proficiency in MS Office Suite (Word, Excel, Outlook).
