Virtual Pediatric Admin & Front Office Assistant

About the role

We are seeking a highly organized Virtual Medical Assistant to support a new pediatric practice during its pre‑opening phase and early growth. The role is fully remote, part‑time (30 hours/week initially) with a target start date of 14 September 2026, and the schedule may expand to roughly 40 hours/week as patient volume increases. Compensation is $5‑$6 per hour.

Key responsibilities

• Manage the physician’s calendar, consolidate meeting details, and track deadlines and project tasks.
• Attend administrative and vendor meetings, take notes, and follow up on action items.
• Provide the first point of contact for patients via calls, emails, texts, and voicemails once the clinic opens.
• Coordinate patient scheduling, intake, and registration using eClinicalWorks.
• Verify commercial insurance coverage, document eligibility, and assist with related administrative tasks.
• Support vendor coordination, research, and various startup projects as needed.

Required profile

• Proactive, adaptable, and able to work independently without constant reminders.
• Comfortable in a fast‑changing startup environment where priorities shift.
• Strong ownership mindset and ability to identify next steps.

Required skills

• Experience with the eClinicalWorks (eCW) electronic health record system.
