Virtual Assistant for Patient Outreach

About the role

We are seeking a proactive Virtual Assistant to support our network of clinics by managing patient recall, retention and re‑engagement through outbound calls. The role involves direct interaction with patients in a fast‑paced environment, ensuring issues are resolved and providing a high level of service as part of the clinical team.

Key responsibilities

• Handle inbound and outbound calls, addressing clinical questions and resolving patient issues.
• Maintain 100 % follow‑through on patient requests, questions and open items.
• Prepare and analyse reports to improve processes, efficiency and member satisfaction.
• Utilise company technology, including CareStack reporting and scheduling tools, to access accurate member information.
• Escalate complex calls and guide team members toward resolution.
• Gather and analyse data while complying with regulatory policies and company best practices.
• Present findings and updates to leadership as required.

Required profile

• Excellent verbal communication in English.
• Ability to work independently with limited supervision.
• Strong organisational and proactive mindset.
• High school diploma or GED; associate or bachelor’s degree in a healthcare‑related field is desirable.
• Empathetic approach to patient interactions.

Required skills

• Proficiency with the MS Office Suite (intermediate to expert level).
• Experience navigating multiple computer programs quickly.
• Familiarity with CareStack reporting and scheduling functions.

• Full‑time schedule of 8 working hours per day with a 1‑hour break (total 9‑hour shift).
