About the role
The Front Office Coordinator will be the face of Vianaar’s office, delivering a refined, boutique‑hotel style experience for every visitor. This role blends high‑touch hospitality with structured executive support, ensuring seamless coordination of customer visits and smooth day‑to‑day office operations.
Key responsibilities
- Own the end‑to‑end front office experience, creating a warm, polished first impression for all guests.
- Orchestrate customer visits from arrival to departure, managing meeting‑room scheduling, readiness, and transitions.
- Maintain a calm, attentive front‑of‑house presence and ensure the reception area reflects Vianaar’s premium design ethos.
- Support basic inventory management of front‑office and hospitality supplies.
- Provide administrative and coordination support to leadership, including calendar management, follow‑ups, and basic data reporting.
- Act as the central point of communication between internal teams, ensuring alignment across CRM, sales, and operations.
Required profile
- 5–8 years of experience in front‑office, hospitality, or executive coordination roles.
- Willingness to work weekends and on a rotational schedule.
- Professional appearance, positive body language, and strong attention to detail.
- Excellent organizational skills and the ability to anticipate visitor needs.
