About the role

We are looking for a proactive Administrative & Receptionist Manager to oversee daily office operations, ensure a safe and efficient work environment, and act as the first point of contact for visitors and employees.

Key responsibilities

  • Manage office infrastructure, repairs, maintenance, space planning, housekeeping, pantry, utilities, and assets.
  • Handle seating arrangements, access control, attendance systems, parking, and overall workplace logistics.
  • Coordinate vendor relationships for security, housekeeping, IT support, facility maintenance, stationery, cafeteria, and negotiate contracts to maintain service quality and cost‑efficiency.
  • Procure office supplies, hardware, and inventory while adhering to budget constraints.
  • Maintain statutory compliance related to fire safety, insurance, office licenses, and AMC contracts.
  • Prepare and monitor administration budgets, conduct cost analysis, and track expenses.
  • Approve and process vendor invoices, payments, and reconciliations.
  • Support onboarding and off‑boarding logistics, including workstations, access, assets, and welcome kits.
  • Collaborate closely with HR, IT, and Finance to ensure operational alignment.
  • Implement workplace safety policies, conduct fire drills, and manage emergency response procedures.
  • Lead, mentor, and evaluate the admin team to ensure high performance and accountability.
  • Establish SOPs and best practices to streamline administrative operations.

Required profile

  • Bachelor’s degree in Business Administration, Management or a related field.
  • Minimum 5 years of experience in Administration or Facility Management, preferably within a corporate setting.
  • Proven experience managing vendors, budgets, compliance, and workplace operations.
