Executive Assistant

About the role

Seagull Advertising seeks a proactive, highly organized Executive Assistant to support the Managing Director. The role goes beyond traditional admin support, requiring strong planning, coordination, and follow‑through to drive strategic initiatives and client commitments.

Key responsibilities

• Manage the MD’s calendar, meetings, travel schedules, and priorities.
• Prepare agendas, briefing notes, supporting documents, and record minutes of meetings.
• Track action items, coordinate leadership reviews, and ensure timely follow‑up on decisions.
• Coordinate strategic projects and agency initiatives across teams, monitoring timelines and deliverables.
• Schedule client review meetings, consolidate team updates, and draft concise briefing notes.
• Support proposal development, maintain proposal records, and track new business opportunities.
• Draft professional emails, reports, presentations, and meeting summaries.
• Maintain organized documentation of client discussions, strategic notes, and business assets.
• Maintain project trackers, weekly dashboards, and monitor key deliverables and leadership action items.
• Assist the MD in workshops, research assignments, process improvement, AI adoption, training, and business development activities.

Required profile

• Bachelor’s degree in Business Administration, Management, Commerce, Mass Communication, Marketing, or related field.
• Excellent written and spoken English.
• 5–7 years of experience supporting senior leadership, preferably in advertising, branding, marketing, media, consulting, or professional services.
• Proven ability to coordinate cross‑functional projects and manage multiple stakeholders.

Required skills

• Strong proficiency in Microsoft Office.
• Strong proficiency in Google Workspace.
• Experience with AI‑powered productivity tools.
