Divisional Coordinator

About the role

Hi-Tech Digital Solutions LLP, an ISO-certified company serving clients in the USA, Europe, Australia and the Middle East, is hiring a Divisional Coordinator for its newly formed Process Excellence and Data Sciences divisions. The coordinator provides administrative, operational and coordination support so that the division runs smoothly, acting as a central point of contact for collaboration and workflow improvement.

Key responsibilities

• Prepare meeting agendas, record minutes and track action items; maintain departmental documents, reports and records.
• Coordinate cross-functional activities and help organise internal meetings, training sessions and departmental events.
• Assist in planning and executing departmental initiatives, keeping project documentation and status reports up to date.
• Collect, compile and analyse data for reports and presentations, and maintain dashboards, trackers and MIS reports.
• Monitor key performance indicators (KPIs) and support reporting requirements.
• Maintain documentation of division activities and communications, update records and support audits and compliance when needed.

Required profile

• Bachelor's degree.
• 2-5 years of experience in administrative coordination, operations or project coordination; experience supporting department heads is preferred.
• Strong organisational and multitasking skills, excellent verbal and written communication, and strong attention to detail.
• Ability to work independently and in a team, with time management and deadline management skills.

Required skills

• Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
• Preferred: project management tools or ERP systems, knowledge of reporting tools and dashboards, and experience coordinating cross-functional teams.
