HR Operations Specialist – U.S. Healthcare Licensing & Reimbursements

About the role

The HR Operations Specialist will manage clinical license reimbursement processes and support the employee and consultant lifecycle within NationsBenefits. This role ensures accurate tracking, verification, and timely payment of licensing fees while coordinating with payroll, finance, and other internal stakeholders.

Key responsibilities

• Process and track clinical license reimbursement submissions, verify documentation, and ensure compliance with company policies.
• Coordinate with employees, consultants, payroll, and finance to resolve missing or discrepant information and submit approved reimbursements for payroll processing.
• Maintain organized records of license applications, reimbursements, receipts, and payment confirmations for audit and compliance purposes.
• Prepare regular reports on reimbursement activity, pending submissions, and payment status.

Required profile

• 3‑5 years of experience in HR operations, shared services, or licensing administration.
• Familiarity with clinical license verification, state licensing boards, and expense documentation.
• Strong attention to detail and ability to manage multiple reimbursement submissions simultaneously.

Required skills

• Experience with HRIS platforms such as UKG and Keka.
• Proficiency in Microsoft Excel and reporting functions.
