Workplace Coordinator

About the role

Zillow’s Corporate Real Estate and Workplace team is looking for a Workplace Coordinator to be the face of the office and ensure a seamless, hospitality‑driven experience for employees, visitors, and vendors. The role supports day‑to‑day workplace services and helps maintain a welcoming, organized, and efficient environment as Zillow expands its footprint in India.

Key responsibilities

• Open and prepare the office each day, ensuring cleanliness, safety, and readiness.
• Respond to internal support tickets, providing direct assistance to employees and escalating issues per SOPs.
• Manage hospitality services including reception, visitor management, pantry supplies, meal coordination, office supplies, transportation, building access/badging, new‑hire orientation, and seating arrangements.
• Coordinate small events, meetings, and onsite activities.
• Schedule, track, and close out planned and unplanned maintenance; assist with MEP, HVAC, life‑safety, and critical equipment issues.
• Maintain accurate asset, chemical inventories, logs, and permits.
• Act as primary point of contact for front‑of‑house vendors, track service requests, and ensure timely resolution.
• Drive onsite communication, answer employee and visitor inquiries, and support internal office communications.
• Manage facility incidents and emergencies, ensuring timely response, escalation, and resolution tracking.
• Conduct regular inspections to maintain compliance with workplace safety standards and support audits.

• Experienced professional with a strong service orientation.
• Excellent organizational and multitasking abilities.
• Ability to work independently and collaborate with the Workplace Manager and cross‑functional teams.
• Strong communication skills for interacting with employees, visitors, and vendors.
