Shipping Assistant

About the role

The Shipping Assistant will support the smooth movement of shipments for Alfa Laval in Pune. The role involves coordinating national and international transport, preparing documentation, and ensuring accurate packing and dispatch processes.

Key responsibilities

• Manage GMU Machine and Parts dispatches: generate packing lists in Movex, coordinate inspection, pack items, calculate size, weight and VGM, and prepare gate passes, e‑way bills and carrier documents.
• Handle local machine and parts dispatches: obtain freight quotations, secure customer approval, and oversee loading, documentation and invoicing.
• Coordinate free‑supply and MTN dispatches, including collection from stores, inspection, packaging, and delivery to customers or other sites.
• Maintain records of all shipping documents for up to five years and procure packing materials such as plywood and rubberwood.
• Support daily team activities, monitor process performance, and drive waste elimination and continuous improvement.

Required profile

• Strong knowledge of shipping and logistics processes, including documentation, VGM and e‑way bill preparation.
• Ability to act as a liaison between the shipping team, support functions and customers, providing training and coaching where needed.
• Focus on safety and HSE compliance, ensuring proper use of PPE and adherence to procedures.

Required skills

• Proficiency with Movex ERP for status updates and packing list generation.
• Experience preparing E‑way bills and calculating Verified Gross Mass (VGM).
• Familiarity with freight quotation handling and carrier documentation.
