Purchasing Coordinator

About the role

We are looking for a detail‑oriented Purchasing Coordinator to ensure purchase orders are issued promptly at competitive rates and that goods arrive at our warehouse as scheduled. The role acts as the central link between sales, warehouse, finance and leadership, providing proactive updates on supply status.

Key responsibilities

• Convert approved requirements into complete purchase orders, specifying SKU, quantity, finish, packaging and delivery dates, and ensure final negotiated rates are applied.
• Obtain, compare and negotiate quotes, MOQ, lead times and payment terms; maintain a SKU‑wise rate card and flag any upward price movements.
• Own the open PO book end‑to‑end, following up with vendors on a regular cadence, securing production confirmations and dispatch dates, and escalating any slippage risks.
• Coordinate dispatch, transport booking and inbound scheduling to guarantee on‑time, full deliveries to the warehouse.
• Maintain a single source of truth purchase tracker, update SOP compliance, keep comprehensive vendor records and support accounts in PO‑to‑receipt‑to‑bill matching.
• Provide periodic supply status updates to stakeholders, inform sales of changes affecting customer delivery dates, and alert the warehouse of incoming consignments.
• Escalate issues promptly with clear impact analysis and recommended actions.

Required profile

• Strong attention to detail and ability to manage multiple purchase orders simultaneously.
• Excellent communication skills to keep internal teams and external vendors informed.
• Proactive problem‑solver who can identify risks early and drive timely resolutions.
• Organised and disciplined in following SOPs and maintaining accurate records.
