Patient Care Coordinator – Front‑Desk & Coordination

About the role

The Patient Care Coordinator (PCC) is the welcoming voice of our clinic, handling phone calls, greeting clients, and ensuring smooth communication between patients and staff. This position blends front‑desk duties with coordination of appointments, email routing, and patient advocacy, playing a vital part in delivering high‑quality client service.

Key responsibilities

• Answer multi‑line phone calls with a cheerful, professional tone.
• Greet patients and clients in person, providing warm and compassionate service.
• Manage incoming emails, attach them to the correct charts, and ensure timely responses.
• Monitor the Weave messaging app to reply quickly to text inquiries.
• Educate clients about over‑the‑counter products, veterinary prescription foods, and medication availability.
• Process payments via cash, check, credit card, or Care Credit.
• Create and update medical record folders, keeping information current.
• Perform additional tasks as needed to support clinic operations.

Required profile

• High school diploma or equivalent.
• Strong verbal and written communication skills for interaction with staff, doctors, and clients.
• Ability to lift 20‑40 lb and perform routine turning, twisting, bending, and reaching.
• Comfortable with prolonged periods of sitting and walking during shifts.

Required skills

• Experience with a multi‑line phone system (preferred at least one year).
• Typing speed of at least 35 wpm with accuracy.
• Proficiency in Microsoft Word.
• Proficiency in WordPerfect.
• Proficiency in Microsoft Excel.
