Executive Assistant – Returnship Program (ExcelHer)

About the role

We are looking for an experienced Executive Assistant to join Volvo Group India’s ExcelHer returnship program in Bangalore. You will support the Vice President, manage complex schedules, and contribute to technology and automotive projects while re‑entering the workforce after a career break.

Key responsibilities

• Shadow the VP in meetings, capture detailed notes and ensure timely follow‑up on action items.
• Manage the VP’s calendar across multiple time zones, coordinate meetings and optimize scheduling.
• Handle confidential documents and information with discretion.
• Track technology project deadlines, deliverables and milestones; assist with budgeting and financial tracking.
• Research, compile content and prepare presentations, proposals and strategic plans.
• Support cross‑functional project planning, monitor timelines, stakeholder updates and prepare dashboards for leadership.
• Serve as liaison between the VP and internal/external stakeholders; draft, proofread and edit executive correspondence.
• Coordinate internal and external meetings, workshops and events, including agendas, minutes and follow‑up tasks.
• Arrange occasional travel in line with company policies and budget guidelines.

Required profile

• 5+ years of experience as an Executive Assistant or Chief of Staff, preferably in a fast‑paced technology or automotive environment.
• Career break of at least one year is accepted as part of the ExcelHer program.
• Exceptional organizational and time‑management abilities with strong attention to detail.
