Virtual Assistant – CRM & Client Support

About the role
We are looking for a proactive Virtual Assistant to support our client management and outreach efforts. You will work closely with the sales and client relations teams to maintain accurate records, coordinate communications, and ensure a smooth client experience.
Key responsibilities
- Maintain and update client records in MLOFLO CRM.
- Consolidate and import contact data from spreadsheets into the CRM.
- Tag, segment, and manage pipeline stages accurately.
- Prepare daily call lists with relevant notes and track call outcomes.
- Send follow‑up emails and text messages using predefined templates.
- Schedule post‑closing check‑ins and annual client reviews.
- Manage Homebot platform for client onboarding and engagement tracking.
- Execute email campaigns and newsletters.
- Maintain realtor and referral partner database.
- Manage calendar, appointment scheduling, and weekly Zoom session coordination.
- Schedule social media posts on Facebook and LinkedIn.
- Organize and repurpose content for outreach.
- Coordinate client appreciation activities such as cards, reviews, and small campaigns.
Required profile
- Strong attention to detail and data accuracy.
- Excellent written English and communication skills.
- Highly organized, proactive, and able to work independently.
- Ability to follow structured processes and maintain consistency in execution.
