Ships Agency Operations Executive

About the role

Join our global team at Wilhelmsen Port Services, where we handle 75,000 port calls each year and ensure vessels leave safely and on schedule. We are looking for a Ships Agency Operations Executive to coordinate port calls, manage agency services, and support maritime logistics for our customers.

Key responsibilities

• Attend and board vessels as directed, ensuring compliance with customer requirements.
• Coordinate full agency and husbandry services, handling customs, port health, and immigration procedures.
• Support maritime logistics formalities and liaise with shipping lines and terminal operators.
• Advise on contractor selection and manage competitive quotations.
• Use the WASP operating system for reporting, monitoring, and documentation.
• Ensure pre‑funding and authority approvals are in place before port calls.
• Maintain real‑time vessel files and transactional systems.
• Monitor expenses, approve supplier invoices, and manage cash‑in‑transit procedures.

Required profile

• Graduation degree in any discipline.
• 3‑5 years of experience in ships agency operations.
• Excellent written and verbal communication skills.
• Self‑motivated, result‑oriented, and able to work under pressure.
• Strong problem‑solving ability and sound judgement.
• Familiarity with port and local authority regulations, procedures, and tariffs.

Required skills

• Proficiency with the WASP operating system.
• Knowledge of cash‑in‑transit procedures as defined by WPS.
