Export Documentation Coordinator – Maritime Logistics

About the role

Wilhelmsen Port Services is seeking an Export Documentation Coordinator to manage end‑to‑end maritime export documentation. The role supports the Export Maritime Logistics Department, ensuring accurate and timely paperwork for ship cargoes worldwide.

Key responsibilities

• Coordinate with the Customer Service team on SOB messages and freight discrepancies.
• Obtain and follow up on Bill of Lading (BL) draft copies from customers.
• File Shipping Instructions with shipping lines and monitor first‑print issuance.
• Validate first‑print details against customer‑provided drafts and forward to customers.
• Secure customer approval for House BL (HBL) and provide final approval for Master BL (MBL) to shipping lines.
• Track invoice copies from shipping lines and verify freight details against rate files.

Required profile

• Graduate in any discipline.
• Minimum 2 years experience in export documentation or a related field.
• Strong organizational skills and ability to meet multiple deadlines.
• Excellent written and verbal English communication.
• Customer‑focused attitude and ability to work in a multicultural team.

Required skills

• Proficiency with company documentation software systems.
