Executive Assistant to Managing Director

About the role

Seagull Advertising is seeking a proactive Executive Assistant to support the Managing Director in Pune. The role combines traditional executive support with strategic project coordination, ensuring leadership priorities and client commitments are executed efficiently.

Key responsibilities

• Manage the MD’s calendar, travel, meetings and prepare agendas, briefing notes and minutes.
• Coordinate cross‑functional strategic projects, monitor timelines, deliverables and resolve bottlenecks.
• Schedule client review meetings, consolidate team updates and assist in proposal development.
• Draft professional communications, maintain organized documentation and ensure information flow across departments.
• Maintain project trackers, weekly business dashboards and repositories of client assets.
• Support special initiatives such as workshops, AI adoption projects and business development activities.

Required profile

• 5–7 years of experience supporting senior leadership, preferably in advertising, branding or related professional services.
• Exceptional planning, organization and time‑management abilities with a high level of confidentiality.
• Strong written and verbal communication, problem‑solving skills and proactive follow‑through.
