Executive Assistant – Technology Engineering (Bengaluru)

About the role

The Technology Engineering Executive Assistant provides comprehensive administrative support to senior engineering leaders at Okta’s Bengaluru site. This fast‑growing team needs a proactive, detail‑oriented professional who can manage complex schedules, coordinate global travel, and drive projects that impact the engineering organization.

Key responsibilities

• Manage and maintain multiple complex calendars for VP‑level engineering leaders.
• Coordinate international and domestic travel arrangements, including visas and itineraries.
• Organise team events, socials, off‑site meetings and logistics for visitors.
• Process expense reports and maintain accurate financial records.
• Collaborate with Okta’s HQ engineering and admin teams to ensure seamless operations.
• Drive cross‑functional projects that directly support the engineering team and site initiatives.

Required profile

• Minimum 5 years of experience supporting VPs or senior leaders within an engineering organization.
• Demonstrated ability to interact professionally with customers, prospects and internal stakeholders.
• Proven track record of delivering projects on time, within scope and budget.
• Excellent verbal and written communication skills and strong judgment autonomy.
• Ability to thrive in a fast‑paced environment while maintaining confidentiality.

Required skills

• Expert knowledge of GSuite, Box, WorkDay and Slack.
• Experience with web‑based scheduling and collaboration tools.
• Outstanding time‑management, attention to detail and multi‑tasking across global time zones.
• Ability to quickly learn new technologies to improve work efficiency.
