Executive Assistant

About the role

The Executive Assistant will support the CEO and COO of House of Spices, a leading South Asian food manufacturer and distributor in North America. Working from the Vidyavihar office on a night‑shift schedule, you will ensure the executive office runs smoothly and efficiently.

Key responsibilities

• Manage complex calendars for the CEO and COO, schedule meetings, and resolve conflicts.
• Serve as primary point of contact for internal and external communications, handling emails, calls, and correspondence.
• Coordinate domestic and international travel, including flights, accommodations, and transportation.
• Prepare agendas, presentations, and meeting materials; attend meetings, record minutes and action items.
• Maintain confidential files, documents, and records with organized accessibility.
• Process expense reports, track expenses, and reconcile credit‑card statements in line with company policy.
• Support special projects and initiatives with research, analysis, and administrative assistance.
• Build and maintain relationships with board members, clients, partners, vendors, and internal stakeholders.

Required profile

• Bachelor’s degree in Business Administration, Communications, or a related field.
• Minimum 5 years of experience as an Executive or Personal Assistant.
• Excellent organizational skills, attention to detail, and ability to work autonomously.
• Strong written and verbal communication skills in English.
• Proven ability to handle confidential information with discretion.
