Executive Assistant

About the role

We are seeking a proactive Executive Assistant to support the Director of Jaipur Rugs. The role involves managing schedules, communications, travel, and high‑level administrative tasks, allowing the Director to focus on strategic initiatives.

Key responsibilities

• Manage and coordinate the Director’s calendar, meetings, interviews, and events with timely follow‑ups.
• Prepare daily, weekly, monthly, and annual work plans, prioritising critical tasks while maintaining flexibility.
• Organise internal and external meetings, providing briefs and research notes.
• Maintain confidentiality, review and respond to emails as directed.
• Draft agendas, minutes, and follow‑up action trackers for meetings.
• Draft, proofread and edit correspondence, proposals, press releases and marketing materials.
• Coordinate travel arrangements and maintain a monthly travel summary.
• Observe employee behaviour, provide feedback to the Director and support grievance resolution.
• Act as a thought partner by understanding Jaipur Rugs’ products, processes, people and philosophy.

Required profile

• Prior experience as an Executive Assistant, Personal Assistant, Chief of Staff or similar role.
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and web research.
• Excellent documentation and communication skills in English and Hindi.
• Tech‑savvy with ability to leverage AI tools for productivity.
• Strong sense of urgency, ownership, empathy and alignment with Jaipur Rugs’ values.
