Service Spare Parts Coordinator II

About the role

The Service Spare Parts Coordinator II supports global service operations by managing spare parts requests, inventory, and repair processes. Based in Chandigarh, the role ensures customers receive timely parts and accurate documentation while collaborating with internal teams and external vendors.

Key responsibilities

• Handle customer inquiries via the Jira helpdesk, prioritising and updating spare parts requests.
• Assist in part ordering, price validation, delivery tracking and preparation of shipping documents.
• Raise and follow up on RFQs until closure; review and process customer purchase orders.
• Maintain spares tracking logs for cost, transportation, and related information.
• Coordinate with internal stakeholders and vendors to fulfil spare parts requirements.
• Create spare‑part offers, manage invoicing and track parts consumption across customer sites.
• Support warranty processes, manage repair requests and update RMA logs.
• Maintain and update ERP records, OMR service logs and safety‑stock levels.
• Analyse trends, update KPIs and recommend process improvements.
• Provide administrative support, manage the service support phone line and develop self‑help documentation.

Required profile

• Willingness to work off‑site or support EU and US coordinators as needed.
• Strong organisational skills with attention to detail.
• Ability to manage multiple requests and maintain accurate records.

Required skills

• Proficiency with ERP systems.
• Experience using Jira for ticket management.
