Ships Agency Executive – Port Operations

About the role

Wilhelmsen Port Services is looking for a motivated Ships Agency Executive to coordinate port calls in Paradip. You will act as the main point of contact for vessels, customers, port authorities and internal teams, ensuring safe and efficient operations.

Key responsibilities

• Attend and board vessels as required, following customer instructions.
• Coordinate full agency and husbandry services for assigned port calls.
• Select and manage contractors, obtain competitive quotations and ensure compliance with agency standards.
• Use the WASP operating system for reporting, monitoring, and documentation.
• Verify pre‑funding and authorisations before vessel departure and manage any additional funding needs.
• Maintain up‑to‑date vessel files and transactional systems in real time.
• Communicate proactively with all stakeholders and report business opportunities to the manager.
• Track and record expenses incurred during each port call.

Required profile

• Bachelor’s degree in any discipline.
• 3–5 years of experience in ships agency operations.
• Strong service mindset with excellent written and verbal communication.
• Ability to work under pressure, make fast judgments and anticipate issues.
• Familiarity with port and local authority regulations, procedures and tariffs.

Required skills

• Proficiency with the WASP operating system.
