Back-Office Insurance & Prior Authorization Virtual Medical Assistant

About the role

We are seeking an experienced Back‑Office Insurance & Prior Authorization Virtual Medical Assistant to support a nonprofit behavioral health organization in the United States. The role is fully remote, 30 hours per week, and focuses on moving patients through insurance enrollment, verification and prior‑authorization processes so they can receive timely care.

Key responsibilities

• Verify patient eligibility and benefits with commercial insurance plans and Medicaid, documenting results in AdvancedMD.
• Identify coverage issues or missing information that could block enrollment.
• Initiate and process prior authorization requests, communicating with insurers via payer portals.
• Track pending authorizations and follow them through approval, denial, or resolution.
• Assess patient eligibility for nonprofit financial assistance or reduced‑cost programs and conduct outbound follow‑up for missing documentation.
• Maintain accurate eligibility records and coordinate with front‑desk staff for scheduling.
• Update patient demographics, insurance, and authorization details in AdvancedMD and prepare complete charts before appointments.
• Review backlog of cases, prioritize based on urgency, and take corrective follow‑up actions.

Required profile

• Experience with insurance verification and prior authorization processes.
• Familiarity with Medicaid, commercial insurance, and nonprofit assistance programs.
• Proficiency using electronic health record systems, preferably AdvancedMD.
• Ability to work independently in a remote setting and manage a 30‑hour weekly schedule.
